The Closing Process When an Offer Becomes a Contract: • Open escrow with Old Republic Title. • When you receive the contract make sure all pages and changes have been initialed. • Please DATE the executed contract. This applies to both the seller’s agent and the buyer’s agent. • Be sure that all addenda and counteroffers are attached and all applicable boxes are checked. If applicable, include the completed and signed HOA Addendum with the name of the Master and Sub Association along with who is required to pay the Transfer and Capital Improvement Fees at COE. • Provide Old Republic Title a copy of the executed contract and any other applicable documents, along with the earnest money deposit from the buyer. • If the contract has been faxed several times
and is hard to read, furnish a legible copy to Old Republic Title • Let Old Republic Title know the commission structure contained in the contract. Also, if you have a Commission Disbursement Authorization form, present it to Old Republic Title. Title Commitment: • Check the vested owner on Schedule A to make sure it matches the name of the seller. • Check Schedule B to make sure there are no liens or other issues, other than the seller’s existing mortgage lien, that will be paid off at closing • Notify Old Republic Title if you see any issues (i.e.: marital status, deceased spouse, probate, divorce, etc.).

The Closing The Closing: • Any information you know about the client that might affect the closing would be beneficial to provide to Old Republic Title. Examples: Buyer or seller will be out of town during escrow or at closing; a Power or Attorney (POA) is needed; special arrangements for any disabilities, etc. This information will help Old Republic Title provide a smooth and efficient closing and avoid potential delays. • If applicable, the buyers or sellers, will need to bring a CASHIERS CHECK payable to the Old Republic Title Agency or have their funds wired in. • All parties will need to have a valid government-issued ID (e.g.: a driver’s license or passport). • Power of Attorney – Must be signed and notarized ahead of time and the original provided to Old Republic Title. Old Republic Title Underwriting approval is required for any transaction involving a POA. • Mail outs – Old Republic Title will furnish a pre-paid return envelope for any documents that need to be signed, initialed and notarized for return by overnight mail. Make sure Old Republic Title has the correct address to ship the applicable package. • Once the loan documents are executed, they will need to be returned to the lender for approval. The lender will then deposit loan funds and authorization for Old Republic Title to record and disburse. • Coordinate key delivery including garage door openers, mailbox keys, alarm codes, etc. • Coordinate and schedule signing appointments for closing documents at Old Republic Title. • Review the Settlement Statement sent by Old Republic Title prior to closing. Notify the Escrow Officer of any discrepancies in charges and/or fees in order to avoid any last minute changes or delays in closing.
