LOGGING IN TO LEVER

On the login in page, input the email address associated with your Office 365 work account and click the Next button. Click the Sign in with Microsoft button. On the next page, input the email address associated with your Office 365 work account and click the Next button. Enter the password associated with your Office 365 work account and click the Sign In button. Upon successful login, you will be brought directly to the Candidates section of your Lever environment. Note: users with Interviewer access will be brought to the Interviews section of their Lever environment, as this is the only section to which they have access.

HOW TO OPEN A REQUIREMENT? Job postings are essential to attract and direct candidates into your talent funnel. Postings often give candidates a first impression of your organization and talent engagement strategy, all before they have even spoken with a recruitment team member. Postings also serve a critical administrative function, as they underpin the operation of opportunities and your ability to measure recruitment activity. This section will cover: How job postings work Creating and publishing job postings Managing job postings (updating, linking requisitions, closing) Best practices for creating and managing job postings

HOW JOB POSTINGS WORK Job postings hold all candidate-facing information about a role. Typically, job postings are meant to be published on our external and/or internal job site(s), along with any job boards that you leverage to increase the visibility of the roles for which you are hiring. In some cases, you may choose to make a posting unlisted or confidential, for more discrete hiring initiatives. Postings also serve several administrative purposes. Postings can be configured with interview plans to provide a structured journey for candidates that move beyond the screening stages of your recruitment processes. Postings are also key to structuring the %20").

For example, in the image above, the source tag 'Custom Job Board' will be added to opportunities generated from applications via the custom job board to which the posting was published.

CREATING AND USING TAGS Adding Tags (Keywords) Users with Super Admin, Admin, Team Member, or Limited Team Member access can manually add tags to opportunities and postings to which they have edit access. To manually add a tag, simply click into the tags field on the opportunity or posting and type the tag that you wish to attach. If the tag already exists in your Lever environment, you can select it from the tag menu.

If the tag does not exist in your Lever environment, you can create the tag, provided Tags have not been locked down in your Lever environment. Maintain consistency in how tags are used Variations in spelling and capitalization can cause unnecessary duplication of tags, which can make it difficult to find and report opportunities based on specific characteristics. To ensure consistency, we have a Keywords internal glossary and the Tags will be routinely audited. Please consult the Keyword Glossary in the Talent folder.

CREATING AND USING TAGS Automated tag application Automation workflows can be used to automatically apply tags to opportunities based on triggers and conditions that you define, saving you time in characterizing opportunities as they enter and move through your pipeline. To learn more, refer to our help article on automation workflows.

Use tags for targeted reporting You can filter by opportunity tags in most Visual Insights dashboards, allowing you to zoom in on key metrics related to specific candidate demographics. Take a look at our Visual Insights chart directory to review the different types of dashboards and the metrics they contain.

ARCHIVING (OR CLOSING A REQUIREMENT) Archive This section will take a close look at the Archive section of the pipeline and how it functions. Specifically, you will learn about: Archive reasons and structure Adding opportunities to the Archive Editing an opportunity's archive reason Reactivating an archived opportunity Reviewing the Archive for insights Archive reasons and structure Visually, the Archive mirrors the structure of the other sections of the pipeline; however, unlike the Lead, Applicant, and Interview sections, the Archive is segmented by archive reasons instead of stages. You will find archive reasons arranged horizontally above the opportunity list. Selecting an archive reason will filter for opportunities archived for that specific reason.

As with the stages in Applicant and Interview sections, archive reasons are configured when your organization first sets up its LeverTRM environment.

ARCHIVING (OR CLOSING A REQUIREMENT) Adding opportunities to the Archive Opportunities can be moved to the Archive from any section or stage of the pipeline. There are three ways in which an opportunity can be archived: #1: From the candidate profile Click into an opportunity to open the corresponding candidate profile Click the Archive button next to the stage drop-down menu

Select an archive reason from the drop-down menu. If the candidate has other active opportunities, you will be provided with the option to archive those as well. Click the Archive button #2: From the opportunity list This method is best for archiving multiple opportunities at once. Check the box next to the opportunity (or opportunities) that you wish to move in the opportunity list Click the Archive button in the action toolbar

In the modal that appears, select an archive reason from the dropdown menu. If you are archiving multiple opportunities for different jobs, you will also be required to either select the postings associated with the opportunities you wish to archive or Archive everything to archive all checked opportunities. Click the Archive button

A key point to remember, you must disposition your active candidates before archiving a job. Save time by selecting the option to draft and send an email to the candidate when manually archiving their opportunity. If auto-archiving, add an action to send an email to the candidate as part of the same automation workflow.

Editing an opportunity's archive reason You may find that you need to change an opportunity's archive reason in light of new information or as part of your regular data hygiene practices. There are two ways to change an opportunity's archive reason: #1: From the candidate profile Click into an opportunity to open the corresponding candidate profile Click Edit on the archive reason banner and select Edit Archive Reason

Select an archive reason from the menu #2: From the opportunity list in the Archive This method is best for changing the archive reason for multiple opportunities at once. Check the box next to the opportunity (or opportunities) for which you wish to change the archive reason Click the Archive button in the action toolbar

Reactivating an opportunity In the event that you need to reactivate a candidate's opportunity, you can do so by undoing the archive. From a candidate's profile, click the Edit button on the archive reason banner and select Undo Archive. The opportunity will revert to the last active stage that it was in prior to being archived. Note, you should only reactivate an opportunity this way as a continuation of the original application.

ARCHIVING (OR CLOSING A REQUIREMENT) If you would like to consider a candidate with an opportunity for a new role, click the Consider for a New Job option in the menu when editing the archive reason, to begin the process of generating a new opportunity for that candidate. Reviewing the Archive for insights The filter column in the Archive section contains an additional table to allow those reviewing the Archive to see the tallies of the last stage reached by listed opportunities. This table will update to reflect any filters you apply to the Archive. Use this table to identify where the largest number of opportunities are dropping off in your pipeline. Make sure these numbers align with your archive reasons and make adjustments to your recruitment processes as needed. To illustrate this concept, let's look at an example. In the image below the Archive has been filtered for opportunities that have been archived as 'Under-qualified.' We can see in the table that the majority of opportunities archived for this reason are archived from the 'Hiring Manager Screen' stage.

This tells us that most underqualified candidates make it to face-to-face interviews with a hiring manager before they are vetted out of the pipeline. This might indicate that the Hiring Manager's expectations might not align with the requirement and need to be explored further.
