HOW WE PREBOARD A Step-by-Step Guide for Preboarding New Starters

The Preboarding Process What is Preboarding? Preboarding is the period between the candidate accepting the offer of employment and their first day with our organisation. The overarching goal is to ensure that new employees feel engaged and excited about their new role with us and are introduced to the team and culture ahead of day one of employment. The preboarding process alleviates uncertainty and mitigates the risk of a day one no-show.

Why is it important? ●

The average cost of a UK hire is £3,000 before the new employee walks through the door for their first day.



80% of employees struggle with anxiety whilst waiting to start a new role, even worse 28% of those employees will renege on an offer of employment during that time.



65% of employers reported hiring people who have ‘no showed’ on day one.



A quarter of all new hires will leave within the first 45 days of employment.



However, a good preboarding and onboarding experience will increase staff retention by 82%.

Preboarding Framework – Local Initiatives The preboarding framework will vary depending upon the length of time between the new employee’s date of offer and acceptance and their first day with our business.

Welcome to Our Team - Postcard We have a range of ‘Welcome to Our Team’ postcards to email to your new starter post offer and pre-start date. We would suggest for those on a four week notice period, the postcard is sent as a week 2 touchpoint initiative. To arrange your card, please supply the Group Talent Acquisition Manager with your chosen photograph and text. The postcard can be embedded into an email body or can be sent as a flipbook link to create the illusion of the postcard turning: https://fliphtml5.com/udma/mier

Preboarding Hangout An informal meeting with team members before day one is an excellent opportunity for new starters to start building relationships with their colleagues before their first day with our business. nerves and awkward introductions! Where the recruit will be working independently onsite with a client, this could be done via a Teams call with the CRM and a fellow Account Manager within the same region.

Make a Welcome Video For the slightly more adventurous – why not make a Welcome Video? The finished article doesn’t have to be polished or of Oscar winning format but will give your new starter an idea of the team and culture within the office.

The Friday Phone Call All new starters should be called by the Hiring Manager three days before the start which will usually be a Monday, to make day-one arrangements. This is a great opportunity to invite questions from candidates which they may wish to ask outside of the immediate team.

Preboarding Framework – HR Function The Group Talent Acquisition Manager will support the preboarding of your new starter by providing an independent ‘check-in’ call with the candidate at the halfway point between the offer and the start date. Communication will also be made with the candidate four days before the anticipated start date. Confirmation that the check-in has taken place will be sent to all Hiring Managers.
