LET'S TALK ABOUT

DIGITAL ASSET MANAGEMENT

INTRODUCTION Digital asset management (DAM) is both a business process and an information management technology, which creates a centralized system for organizations to organize and access their media assets.

The digital asset is essential to the DAM procedure. It is any type of valuable file that is held by a business or individual, is in digital form, can be found using metadata, and includes access and usage rights. Digital assets come in a wide variety of forms, including but not limited to: DOCUMENTS IMAGES AUDIO CONTENTS VIDEO ANIMATIONS MEDIA FILES GRAPHICS PRESENTATION

ARTICLES I ALI, D., MILLEVILLE, K., VERSTOCKT, S., VAN DE WEGHE, N., CHAMBERS, S. AND BIRKHOLZ, J.M. (2023), "COMPUTER VISION AND MACHINE LEARNING APPROACHES FOR METADATA ENRICHMENT TO IMPROVE SEARCHABILITY OF HISTORICAL NEWSPAPER COLLECTIONS", JOURNAL OF DOCUMENTATION, In this articles, the authors studies the use of machine learning and computer vision techniques to enhance the metadata in historical newspaper collections to improve searchability. According to (Batista and Monard, 2002; Hughes, 2004; Nielsen, 2008) since the late 1990s, libraries and cultural heritage organizations have started digitizing their collections. Besides, one of the important step in granting access to these collections is the digitization of such cultural heritage resources. The worldwide COVID-19 outbreak has highlighted this even further. Moreover, researchers in the humanities can more readily extract articles, locate related articles on a given topic, or analyze the trends of many authors on the same issue in various parts of a country by using computer vision and other machine learning techniques. Therefore, to improve this detection and subsequently the extraction, they suggest a potential solution in the form of a process that combines machine learning and conventional computer vision approaches. Furthermore, the raw data must be kept so that it can be utilized to support cross-collection connection and can be searched. Researchers can use a variety of methods to analyze these newspaper datasets by enhancing the metadata of digitized newspaper collections, including: summary of a text in an abstract. Besides that, finding recurrent news stories is one method of enhancing newspaper datasets. This allows researchers to monitor news stories on a certain subject over time. In conclusion, the suggested methodologies for computer vision and machine learning are universal in nature and can therefore be used with comparable sorts of historical records, such as archives, catalogues, magazines, and so on. In addition, computer-aided methods provide quicker computation and significantly shorten the time needed for manual annotation compared to manual human effort. Lastly, techniques for metadata enrichment make it possible to retrieve information from historical documents and find relevant photos and articles across a variety of cultural heritage assets.

ARTICLES II LATHAM, B. (2022), "A PERSPECTIVE ON COLLABORATIVE PARTNERSHIPS TO EXPAND CAMPUS BUY-IN FOR DIGITAL COLLECTIONS", DIGITAL LIBRARY PERSPECTIVES

This articles focus on how the viewpoint of a medium-sized academic library, and how libraries might leverage partnership with other campus departments to boost support and buy-in for digital collections. Also, because of their experience in a number of areas, librarians are especially qualified to assist campus departments in showcasing and preserving the content they produce in ways that they would not be able to do on their own. The establishment of cross-departmental digital collections inside the library or in partnership with closely linked divisions like archives is a common priority for librarians who specialise in digital assets. Working with non-contiguous campus units requires the library adopting and prioritising another unit's purpose, even though themes of "respect for competing priorities," "constant communication," and "shared goals" appear in these collaborations. Libraries must comprehend the goals and demands of various institutional entities in order to accomplish this. However, collaboration may be difficult if there is resistance inside the organization or if it hasn't been valued or encouraged in the past. Smaller universities can profit immediately by removing obstacles and pooling resources, but these initiatives may be hampered by territorialism and a lack of a collaborative spirit. Librarians must work hard to understand other campus constituencies in order to overcome these challenges. Recognizing the behaviour of the library's constituents, interacting with other campus departments, and actively formulating goals that appeal to stakeholders from all backgrounds are all necessary to achieve this.

In conclusion, collaboration gives many benefits to all parties involved, despite the difficulties that may arise. Librarians contribute their knowledge of user experience optimisation, technical infrastructure, metadata generation, content organisation, and curation and preservation. These talents make them excellent partners for university departments that have valuable and original information but lack the know-how to create efficient digital collections. It might seem that the campus units are the ones who stand to gain the most from these collaborative efforts, with the library shouldering the most of the workload.

DIGITAL ASSET MANAGEMENT ISSUES AND CHALLENGES IN MALAYSIA

POOR WORKFLOW MANAGEMENT

The problem with digital asset management is in the company's procedures, not in the papers or the system. When there is no effective mechanism to organise, store, and classify content based on certain criteria, digital assets can become quite disorganised. In addition, some content is never used and ends up taking up space and resources with no real use to the organisation. Also, they can utilise digital asset management tools to improve workflow management when handling huge quantities of digital assets so that content is more efficiently organised. Company policy has an effect on this procedure. Additionally, features of digital asset management software like automations, approval and revision processes, comments, and so on can support more effective workflow management. Enterprises are constantly challenged by the amount of content that needs to be produced, stored, updated, and, of course, communicated to the appropriate audience at the appropriate time.

08

DIGITAL ASSET MANAGEMENT ISSUES AND CHALLENGES IN MALAYSIA

MISCOMMUNICATION AND LACK OF CONSISTENCY

Miscommunication can cause back and forth, which can slow down teamwork. For instance, project managers must manage a significant influx of digital assets without any context. Lack of context will only lead to more misunderstandings during projects, which could lead to flaws in the finished results. Also, with content management systems in place, everyone may now access assets equally, doing away with he-said/she-said arguments and preventing misunderstandings. To help everyone understand which item belongs where, team members and company personnel might use digital asset management systems to add descriptions, collaborators, or linkages to specific projects. Integrating your current systems with the best customer support software that most closely matches your business procedures also helps. You may enhance customer service and increase client loyalty and retention by using a customer support solution.

The user interface (UI) serves as the public face of the DAM and establishes a visual standard for the entire service. Its simplicity of use communicates hints as to whether the DAM will be a friend or adversary. Use this contemporary marketing tool, should be the message that the user interface (UI) conveys. This message necessitates a cutting-edge, eye-catching user interface (UI) that offers simple access to the most crucial and commonly used features. Moreover, a search box will typically be the main feature and the one that most people will want to access first. Whether they like it or not, Google has altered the course of history, and consumers now anticipate finding what they're looking for by entering a few key terms that apply to it rather by using a taxonomy. Therefore, even while creating the ideal folder arrangement for your assets may be of interest to you, making sure they can be searched would benefit consumers more. System performance is also a factor here because search speed is crucial to the user experience. Although technology is not the primary emphasis of this paper, it is important to note that any DAM whose search speed falls short of user expectations would struggle to obtain user acceptance.

A consistent approach to metadata will produce consistent results regardless of whether your search engine only utilises text search or has complex search capabilities based on complicated information. This will facilitate finding items throughout the total volume of data. Additionally, it enables personnel to depend on the DAM consistently even as they move to different areas of the company. When it comes to metadata, consistency comes down to just two basic ideas. First, all assets should be subject to the same, "harmonised" information schema. Refuse to believe that various brands or services need their own unique, specialised information. Plan your search for digital assets instead based on what the organisation as a whole requires. Second, asset labelling needs to be constant and persistent. The most crucial components, those that consumers will normally utilise in a search, are "flattened" to the metadata model to make all of this easy. Make that the tagging effort's scope corresponds to business requirements. Metadata that goes beyond what is typically utilised for search yields diminishing results and is probably not worth the time and effort to attach to assets. In light of this, your metadata approach should aim for the minimal amount of metadata necessary to produce the most helpful outcomes and nothing more.

11

CONCLUSION

In conclusion, a digital asset management system (DAM) that is efficient can benefit a business in a number of ways. It simplifies work processes, gathers considerable organisational resources, and raises productivity within the company. The capacity of digital asset management to increase employee productivity and save the company valuable time and money is one of its strongest features. Moreover, it's important to have a system in place that enables simple access and sharing across the company when it comes to managing your digital data. By keeping all of your assets in one location and offering search functionality that enables users to locate exactly what they're searching for quickly and effortlessly, a DAM system can offer this functionality. Last but not least, if you want to manage your data efficiently, digital asset management is a necessity for your company. DAM software is a game-changing tool that can improve workflows and free up resources for tasks of high value.
