STRATEGIES TO IMPROVE THE EFFECTIVENESS OF RECORDS MANAGEMENT IN FASHION INDUSTRY

TAKE A LOOK There are some strategy on how to improve the record management in fashion industry and create a smoother running, compliant and cost effective organization.

Fashion Quotes "You can have anything you want in life if you dress for it."

A well maintained record management process also helps fashion industry remain compliant with Record keping regulations, avoid security risks, and streamline the workflow and productivity of the industry

STRATEGIES Paper records should be stored in a clean and dry environment such as not near unblocked window, under or near water or sewage pipe, water drain manhole, water permeable wall or ceiling. water tank, and in proper facilities such as filing cabinets and filing racks instead of stacking them on the floor.

"Records should be stored in such manner so as to facilitate user access and ensure that they are protected from unauthorized access, use, disclosure, removal, deterioration, loss or destruction"

Ensure facilities and equipment are suitable for the storage of records. The equipment and environmental conditions should prevent damage and unauthorized access to records. while off site storage should be similarly monitored. Fashion industry should lay down guidelines on the storage of records including sensitive or classified records . For record in paper form, Fashion industry should note that paper deteriorates rapidly in an environment of high temparature and humidity. Furthermore, mould growth on papar can be a health hazard to staff

For storage of electronic records. the selection of storage media such as optical disc and tape, storage system, storage environment and handling procedures should be based on records management and business considerations, such as volume and growth rate of records, records security needs. retrieval requirements and preservation needs. For storage of records in other formats such as audio-visual materials, microfilms, a fashion industry should seek specialist advice to ensure their preservation is commensurate with business needs.

Backup the data and records

Fashion industry can help to minimize the damage of potentially losing their electronic records by also regularly backing up the data and documents. So, it's the best if the fashion industry begin a record backup program by scanning and making a copy of each document. This way they will not only be prepared in case of potential disaster, but they will also have begun taking the initial steps to converting the record inventory to a streamlined electronic document management system.

Records Management After establishing and adhering to a company-wide record management system, fashion industry should also consider implementing an internal audit and accountabitity program for their record management system. This allows them to track the strengths and weaknesses, and continue to make improvements to the system. Once fashion industry designed and implemented an electronic records management system for their business or organization,

The difficult part is over but that

doesn't mean there isn't always room for improvement within the process. Adopting and enforcing an accountability program for record management system helps them to track their own adherence to their policies. Because one of the largest contributors to electronic record management system data

Record Classification

maintaining a proper record management system and its various processes will establish a routine for fashion industry employees, helping to reduce possibility for accidental security breaches.

To facilitate a wide range of records management activities, including identification. capturing and retrieval of records, security and access control as well as disposal, records should be systematically organized according to records classification schemes (also called file plans), which are plans for logical arrangement of records according to one or more of the following: business functions, activities and contents of the records. In general, a records classification scheme includes a coding system expressed in symbols such as alphabetical numerical or alpha-numerical to show the logical relationship amongst the records.

KEEPING THE RECORDS RELATING TO THE BUSINESS ENTITY Explore more knowledge about the importance and the purpose of keeping records relating to the business entity in the scope of fashion industry Records management (RM) is defined as the: Field of management responsible for the efficient and systematic control of the creation, receipt, maintenance, use, and disposition of records including the process of capturing and maintaining evidence of and information about business process activities and transactions in the form of records (ISO, 2011. p. 11) While business records is defined as a business record is a document Chard copy or digital) that records the dealing of business. Business records can include meeting minutes, memo-randa, employment contracts, and accounting source documents. It must be retrievable at a later date so that the business dealings can be accurately reviewed as required

Records management is the key and discipline that help the organization to create and manage all the records to support its operation. Moreover, records management usually also facilitates to control over the volume of records which have been produced through the use of disposal schedules and also facilitates to determine when and how different types of records should be retained

IN SCOPE OF FASHION INDUSTRY On top of that, they need an effective record management to bring out the knowledge for decision making at the right used , right person and right place. Beyond Blake's theorv explanations, of why we need to keep all the records related to the business effectively, the author had listed out some purpose and advantages of keeping record practically. The first good explanation is if this industry is not able to manage their business records, the capable of business man in seeking value of particular records of the company will take longer time and unable to be accessed precisely. Though this statement we admit the opinion is pretty good. Thus, with a proper records management it will facilitate the organizations to be accountable to their stakeholders and being able to plan and administer the business operations in the organization effectively. At the same time, an organization also can reduce their storage cost when there is an effective way to manage their record properly.

In the current economic climate, all the businesses especially in scope of fashion industry, they need to efficiently manage their working capital in order to avoid the "risk of inability to meet due short-term obligations on one hand and preclude excessive investment in short term assets on the other hand” (Eljelly, 2004, p. 48). Working capital is what keeps a business alive and functioning. Besides that, Classification is also one of the most important tools for the fashion industry if they want to know what to keep and what to destroy for records. This is because business records are usually mani fold and diverse which they range from great leatherbound ledgers to tiny receipt fragments. The classifications can be included account books, minutes of meetings (court and committee), annual or quarterly, and, documents and pertaining to the Annual General Meeting, correspondence at all levels (public and private), deeds and titles to property, maps, sketchplans and designer’s working papers or designs, etc.

FURTHER DETAILS in Fashion Industry In Fashion Industry, it is advice to meet certain legal requirements when managing all of their records. If they are not to do so they will be unable to achieve and it is almost impossible to plan and administer any formal organisation effectively. According to the Eric C.K. Cheng, through the records management, fashion industry.

Knowledge can be condified into documents and stored in the active records and digital archive (DA). The DA system is very convenient for organizations that manage records related to the fashion industry. This is due to the easiness when searching some information for reporting. Besides that, the DA system can help to improve the transparency by observing what is being copied and stored in other committees or departments. Successful criteria for effective records include close co -operation among staff members, the business process involved and the information technology applied (McLeod et al, 2011)

they could save time to retrieve and compile relevant documents once it is informed for the external review if they applied the records management. In addition, the records management also can help the industry to support decision-making. Last but not least, in my opinion, it is important for the industry to keep their records even they are small-oriented company. This is because some of their records can hold a lot of value for future historian. Proper management of the business records in all organizations is a must as some of the business records are valuable. Keeping the business records also can keep business to run for a long period of time.

Record Management and Cloud Storage in Fashion Industry

n this day and age of rapidly evolving technology, the clothing manufacturing industry has been approached with increased global challenge, client requests for fresh creative items, the need to create new revenue streams, and the pressure to reduce new development costs. To stay vigilant of requests and focused, the clothing industry is always looking to differentiate itself, and has done so in three fundamental ways: (a) Aligning and planning structure, acquisition, and providers early in the planning procedure to expedite time-consuming item test audit emphases and situation choices. (b) Creating a data foundation capable of automating business forms and creating work processes throughout the item's lifecycle. (c) Improving the ability to detect and adjust industry trends, product highlights, and client requirements. The use of foundational forms is essential for success in all three of these areas.

Real clothing organisations, for example, Under Armour, Tommy Hilfiger, American Eagle, and Levi Strauss and Co, have seen their brands succeed globally with the help of deliberate administration systems, which unquestionably incorporate the effective management of report and work processes. In this article, we will explore the importance of record the board frameworks in the clothing industry, as well as how our own unique eFileCabinet can assist the clothing and setup industry in dealing with their archives and work process forms for maximum profit. The ability to manage your product development, structure your marketing efforts, and track your work process all in one arrangement implies a quicker time-toadvertise, expanded procedure perceivability, improved collaboration, and improved detectability. Record the board programming (DMS) can be easily coordinated with Adobe apparatuses

giving ready access to all plans, pictures, and critical reports identifying with promoting, bundling, import and fare, and consistency. With its buy request age, limit for testing and quality confirmation, improvement of merchant collaboration and occasion track, and capacity to build up idea to creation work process, highlight rich and natural DMS like eFileCabinet can meet the specific needs of the clothing business. Building a work process the executives framework to computerise archive arrangement reduces request and sending handling times, quickens accumulations, makes the business procedure more deceptive and detectable, and decreases charge-backs.

s

imilarly to other industries, the clothing industry is required to meet the requirements of various administrative and government guidelines. According to ISO 9001, all records must be legible and distinguishable as proof of report update. It is most likely critical to have control over the outer archives. DMS can be used to effectively practise this. Reports for this situation may imply that detailing and recording

play an important role in the assembly and administration industry. It contains all of the data associated with the progressing industry execution and eliminates bottlenecks by focusing on areas that require improvement. To carry out a comprehensive business knowledge stage, organisations must design a compelling detailing, examination, and data conveyance system. This methodology includes the ability for end users to effectively consume incorporated information in order to drive proactive basic leadership and gain an advantage.

We have a strong detailing structure in the clothing manufacturing industry. The recorded data isn't really organised, and data progression is frequently delayed due to the manual bearer of information via documents and envelopes. Each section of the clothing processing plant records its production data because this data is extremely valuable and is used by not only the production directors to assess the firm's business yield, but also estimates the efficiency of the specialists who are putting in enormous effort on the production floor.

THINK ABOUT A SITUATION OF A CUTTING ROOM, where the texture is sliced to nourish the sewing floor without a break. The lay arranging combined with the thought process to cut texture in an ideal and proficient manner favours effort. Various style requests are being cut in parallel and are being sent to further sewing floor focuses from the cutting room. Representatives frequently devote a significant portion of their time to account, storing and isolating the cutting data into documents and envelopes via manual information passage. In most clothing manufacturing plants, information is gathered through a series of manual passages on paper arrangements, and then similar information is duplicated on exceed expectations sheets to digitise the data.

FASHION RULES THE WORLD Everything is recorded and saved in the current strategy. When a reference of the authentic information of the cutting floor is required, an individual must proceed to check from the reserve of reports and obtain the appropriate envelope. While it is not easy, showing up and representatives are frequently tested to carry out their essential employment jobs and obligations. There is a huge gap in the adjustment of new detailing and information as a result of advancements in our cutting room. In light of the circumstances, if you examine the intelloCut's detailing structure and methodology, you'll be intrigued to see that the enormous and voluminous information can be effectively put away and alluded to in an example, in the event of need.

intelloCut automates the entire cutting floor planning and execution process. Thus, every movement is recorded, and a report can be generated for quick reference. The adaptability of seeing a daily cutting report provides the slicing chief with access to floor effectiveness and the KPI for the equivalent. Another amazing feature provided by the IntelloCut's detailing feature is the ability to keep track of the texture used. Manufacturing plants make an effort to keep detailed records of the textures they purchase, use, and discard. However, a large portion of the estimation may be erroneous because the minor subleties of the part change, joining or harm, and the end bits cannot be recorded. A point by point and precise texture use report is available through intelloCut's reporting.
