Record in Fashion industry Disaster Risk Management Modern fashion may be found everywhere. It is a method by which people show themselves to others and indicate the subject of their conversation. Regardless of their sexual orientation, money, level of education, political and subcultural affiliations, social standing, or even mood (Craik,2009). The lives of all those who create, sell, wear, or even just observe fashion have a significant economic, political, and cultural effect due to the worldwide nature of the fashion business. According to Steele, the global clothing manufacturing and retailing industry is a multibillion dollar industry. The style of clothing and accessories worn by various groups of people at any particular moment can be best described as fashion. Maintaining records is crucial for the fashion industry's continued success. For instance, the record contained information about the fashion industry's drawings, patterns, transactions, and other things. These records should be preserved for use in the future. These documents may be utilized for cultural reasons. In order to comply with legal responsibilities or conduct business, an organisation, whether public or private, or an individual may make, receive, maintain, and use documents in any format as part of or evidence of their records. All informational products created during administrative tasks are considered records, including microfilm, microfiche, electronic records, and others. Records are crucial for corporate continuity, accountability, legal purposes, and other purposes. For these reasons, having an effective record management system is crucial for every firm.



RECORD

MANAGEMENT SYSTEM The administration of records for a company throughout their lifecycle. The management process involves organizing and effectively controlling the development, upkeep, and destruction of records as well as the commercial transactions connected to them. An organization needs to maintain its records because it cannot operate without them. A good record-keeping system makes it easier for the person who created it or needs the information to obtain it. In addition to encouraging the creation of complete and accurate records from the start, good recordkeeping requires managing and storing the data properly so that they are always accessible. The optimum period of time needed to retain the records will depend on the institution's fiscal, administrative, legal, and other needs. Records must be kept since they will be required for legal actions and defenses. ecords management is primarily concerned with managing the evidence of an organization's operations as well as the reductions or mitigation of risk connected with them. Records management is part of an organization's larger responsibility of governance, risk management, and compliance. Keeping records is crucial in business since it enables an organisation to continue operating for an extended period of time. An organisation can secure its operations, assess business performance, and increase company earnings with the help of proper recordkeeping. Organizations must preserve their fashion business documents safe and secure because they will be needed for the fashion industry's future use. They must keep the record for a while because it might come in handy later. Every organisation in the fashion industry needs to have effective catastrophe and risk management. Any organisation needs disaster and risk management because it analyses and considers potential risk factors.

No sector or corporation is impervious to calamities or disasters. Therefore, every business or organization needs an emergency plan for catastrophe and risk management. The protection of human life and safety is the first objective of any emergency preparation. The second objective is to make sure that the sector, business, or organization can resume operations while safeguarding its resources, which include tools, materials, documents, and other assets Disaster management is necessary to lessen a society's susceptibility to catastrophic weather occurrences so that, even if they do, there won't be a catastrophe. It also attempted to lessen the effects of any natural disasters that might occur. Extreme weather conditions must be taken into account for effective disaster management.

provide knowledge to small and medium enterprise owners to improve their business performance. It can also be a reference for academics, researchers and management consultants as a source of knowledge and reference. This information can also be used to investigate the extent to which accounting information is used in measuring the financial performance of SMEs and assess the need for specific accounting rules and SME financial reporting practices. The majority of small scale business firms do not do accounting record keeping well and that can affect the viability of their business.

The article found that accounting record keeping is also not the only reason for failure to a business. Good business practices can also guarantee business success by taking into account other factors such as customer relationships, employee satisfaction, and innovation. Base on the research finding, it is clear that the research meets the objective where it able to provide proof and reason why the SME fail to make a proper record management. ISO 15489 is the international standard for records management. It derives from the Australian Standard AS 4390: 1996 and was published in two parts in 2001. The standard applies to the management of records in all formats and provides a framework for organizations establishing a records management system or auditing existing policies and procedures. Other standards for electronic records management reference it. ISO 15489 describes the characteristics of electronic records and the systems needed to manage them, but it does not constitute a set of requirements for an electronic records management system.

ISO 15489-1:2001, Part 1: General, describes at a high level a best practice framework for records management. ISO 15489-2:2001, Part 2: Guidelines, provides practical guidance for the design and implementation of the framework described in Part 1, based on the DIRKS methodology.

The ISO 30300 series standards apply to management systems for records (MSR). A MSR is a management system used to direct and control how records are managed within an organization at a strategic level. The standards are aimed at any organization which wants to implement and maintain a MSR to support its business. They set out the objectives for using a MSR and describe a process approach, specifying roles for senior management. The standards do not alter the operational records management processes defined in ISO 15489 but upgrade the approach that senior management should take to the management of records at a policy and risk assessment level by managing procedures and technology, conducting routine audits, and utilizing continual improvement processes.

Lifecycle

is the theory is that the paperwork of an institution goes through distinct phases: records are created, used for some purpose, stored or filed for future reference, evaluated, and eventually disposed of or transferred to an archive for permanent retention.

Non-record

is stocks of printed or reproduced documents kept for supply purposes where file copies have been retained for record purposes such as books, periodicals, newspapers, or other library materials preserved solely for reference purposes such as preliminary drafts or computations, worksheets, and informal notes which do not represent significant steps in the preparation of a recorded document such as duplicate copies of documents preserved only for convenience; materials not filed as evidence of departmental operations or for their informational value such as or personal materials which are the property of the custodian and which have no relation to official duties.

Its charge is to preserve for permanent use important state records, to provide for the orderly disposition of other state records, and to rationalize and make more cost-effective the management of forms and records by state agencies.

is an identification and evaluation of the records possessed by an office to create a retention schedule.

Records Retention/Disposition Authorization (RDA)

is the RDA is the form used to secure approval for the disposition of all public records. It outlines how long records are to be maintained and their disposition after a retention period has ended. By law, RDAs have to be submitted one year after each records series has been received or created. After 10 years, the RDA sunsets, and a new one must be resubmitted for Public Records and Forms Board approval.

Records Schedule

is the timetable and description of a records series’ lifecycle, including instructions for disposition. In the Wisconsin State government, the retention schedule takes the form of the Records Retention/Disposition Authorization (RDA).

is a group of related records or documents that are normally used and filed as a unit because they result from the same activity or function or have some relationship arising from their creation, receipt, etc and that permit evaluation as a unit for retention scheduling purposes.

is the process of holding documents for use.

Retention Period

is the length of time an officer must keep particular records. This is usually expressed in terms of years, months, and days and may be contingent upon an event or specification.

Retrieval

is the process of locating and withdrawing documents and delivering them for use.

Scheduling

is the process of analyzing and appraising the value of a given set of records, and then preparing a retention schedule showing the disposition of the records.

Sunset Requirement

meaning by Statute, Records Retention/Disposition authorization (RDAs) expire after 10 years from the date of their original approval by the Public Records and Forms Board. The purpose of the sunset requirement is to force a periodic re-evaluation of records, and to reflect changing administrative needs, improved filing practices, and amended laws.

Transfer

is the movement of records from one custodian to another. Usually moving records from active or semi-active office files to off-site storage or the University Archives

The outcome that we gained from this course is it makes us more confident in managing records and understand the best practice in records management. Also, what we gained is that we understand of how to monitor and control records management systems effectively and efficiently.
