LEARNING MANAGEMENT SYSTEMS AN INTRODUCTION TO CREATING TRAINING PROGRAMS

MANAGERS EXPLAINED You have different options when it comes to managing the training within your business.

TRAINING MANAGER

PLAN MANAGER

A company 'training manager' can be appointed from within Manage Employees by the nGaje Administrator. One or more Training Managers can exist, however, all will perform the same overlapping function on all employees. For a more granular approach, use Plan Manager.

Each Training Plan also provides an option for a designated 'Plan Manager'. A Plan Manager is selected at the time the Training Plan is being defined and can subsequently be updated. If a Plan Manager is selected, this person will be responsible for the Manager signify in all instances (not the Training Manager or employee's manager) where the Training Plan has been released as a Training Program. If a Plan Manager does not exist for a Training Program, the signify will become the responsibility of the Training Manager, or the employee's Manager if no Training Manager.

A Training Manager must be appointed by the Administrator, otherwise the Learning Management System module cannot be accessed.

SETTING UP

Who is responsible for your training? The Training Manager is responsible for all training within your business. In a small business without a dedicated trainer, you can use the ‘My Manager is my Training Manager’ function in the Learning Management System settings. Training Managers are responsible for creating and assigning training programs to employees. Reports can be generated to highlight progress, and an overview of all training can be viewed in the Console. Within the same LMS settings, you can also choose to give access to the Console for (non-training) Managers.

To allocate a Training Manager, go to Manage Employees in the Dashboard. Click on the person you are designating as Training Manager. This will open their profile.

The Admin istrator will still be able to acc ess ‘Settings’ in Learning Managem ent System , even once a Training Manager is assigned.

Scroll down to Training Manager and select YES. Click Apply or Save & Exit. You have now appointed a Training Manager.

SETTING UP

Configure your Settings From your nGaje Administrator’s account you can configure your Learning Management System settings. Firstly, you will need to set which sign-off method you wish to use for your Plans & Programs and if you wish to permit the Training Manager access to the Learning Management System settings from their account. These settings are by default only visible to the Administrator.

We recommend you configure the settings before adding any skills or creating any plans. You will find settings for Training Progress, Training Portals, Training Access, and default email templates and much more. Remember if you need more information about any setting you can use the inline information icon to find out more information.

TRAINING MANAGER ACCESS TO SETTINGS If you decide that training managers require access to the Learning Management System settings, once enabled the training manager will see a cog icon in the hop bar and can access the settings from clicking this icon.

HOW TO CREATE A TRAINING PLAN Think of the job roles within your business and determine what skills they require. These skills become translated to a range of skillsets. You can have as many skills and skillsets as you wish. We will now demonstrate how to add skills and build a database of skillsets.

HOW TO ADD SKILLS To add skills, open Learning Management System and scroll down to Skills and select. To add Skills, first you must create Skill Sets. Once a Skill Set has been made, Skills can be added. Firstly select Add / Edit then select Add Skill Set. Give your Skill Set a name. Add a reference and a description if you wish. Select 'allocate for workgroups'. Click apply. Now you can start to add Skills. You can give each Skill a name, a description, reference number and other information about the Skill. You can also add a relevant document to the Skill at this point from the Library. You can add multiple skills at a time or all at once Up to 50 Skills can be added for each Skill Set. Click apply after every addition to ensure each Skill is saved to the Skill Set. This is imperative after each modification.

If you wan t to add a doc ument to a Skill from the L ibrary, sel ect Add from the L ibrary Ref in the pink-topp ed box. Se lect the document from the li st and then click add and s ave and exit. The d ocument h as now been linke d to the Skill.

HOW TO ADD SKILLS TO A PLAN To add skills to a Plan, open Learning Management System and scroll down to Plans and select. Training Plans can be set up for anybody, from individuals to departments, specific roles to everyone. Firstly select Add New from the bottom of the page. Give your Plan a name. Add a reference and a description if you wish. You can choose whether to allow comments, plan updates and capabilities. Please refer to the blue information symbol for more information about each selection. The expected cost of training can be displayed if you wish. Select departments or workgroups or assign new starters only. Select Apply. Now you can start to add Skills. Select the Skill Set you require from the pop up box. In the right panel, select Skills to add to the Training Plan. You can add one at a time or select Add All. Click the X and you will see the Skills have been added to the Plan. Now select Apply or Save & Exit.

Preview your training Plan to ensure it's correct. You can change Plans but need to suspend them first.

PUBLISH

Publish your Training Plan to create the program that your employee will complete.

ASSIGN

Your training plans become programs when you assign them to employees.

ADDING PARTICIPANTS To add employees to a Plan, open Learning Management System and select Plans. Once employees have been assigned to a Plan, this then becomes their Training Program. Firstly select the Training Plan Name you want to add people to. Make sure the Training Plan has been published first. Select the purple Assigned To graphic to an add participants. Select the purple Plus sign graphic to add participants. Check the Select Participant Group box to open up workgroups. Select All if you want to add everyone in the business to the plan or scroll down for individual departments where you can then add whole departments or individuals from that department. Select Add All or click on individual names. These employees will then appear in the Participants box above. When everyone has been selected, you can select the top right cross and your participants have now been added. Once participants are added, you will need to unsuspend the plan to make it go live for assigned participants. Only the Plan Manager can assign employees to Plans. If there is no Plan Manager, the Administrator or Training Manager add participants.
