TECHNOLOGY AND LIVELIHOOD EDUCATION (TLE) The Technology and Livelihood Education (TLE) curriculum offered by San Beda University enhances the students’ Information and Communications Technology (ICT) proficiency, understanding entrepreneurial concepts, procedures, work ethics and practical life skills. The curriculum develops learners to acquire the 21st Century skills which responds to the demands of the K to 12 Program. It is essentially aligned with the Most Essential Learning Competencies (MELCs) of the Department of Education (DepEd).

The module ensures that learners will be well-equipped with the necessary practical life skills to meet the challenges of the 21st century especially in this time of pandemic. And is primarily anchored with the School’s vision-mission and Ten (10) Benedictine Hallmarks of education. Integration of values distinct to the Benedictine education strengthens the learner’s morality and spirituality necessary to face the new challenges of this new normal. This prepares them to be good and productive citizens and influence others to also become fully human, wholly Christian, truly Filipino, and globally competitive. Start by reading and understanding the Learning Outcome/s and Performance Standard/s. These would give you an idea of what you should know and be able to achieve at the end of the module. 2. Information Sheet 2.3

Event Program Concepts and Themes PURPOSE OF THE EVENT • The purpose of the event should drive all planning and assist in sorting out difference of opinion and managing conflict. OBJECTIVES OF THE EVENT • Planning for an event should also involve defining specific and measurable objectives. These might include targets of the following:  Number of people attending people  Number of participants  Contributions of sponsors  Value of grants and donations  Event Theme SCOPE OF THE EVENT • Related to the purpose and objectives of the event is its scope. This encompasses the date, time and duration of the event and its size. The scope of the event is dependent on available resources. THEME • It should ideally appeal to all senses: touch, smell, taste, sight, and hearing. • The theme of the event should be linked to the purpose. It should be completely compatible with guest/audience needs and consistent in all aspect. Most events adopt a color scheme that is repeated on all items produced for the event, such as invitations, programs, décor, posters etc. This helps attendees to identify the theme. VENUE •



The event manager needs to carefully consider the planning. Implications of choosing an unusual venue in preference to a standard venue requiring decoration only to match the theme. Lighting sound and catering also provide challenges in unusual settings. When considering the choice of venue, the event organizer needs to look at a number of factors including:  Potential to fulfill the purpose of the event  Ambience  Location  Access by public transportation  Parking  Seating Capacity  Built features (such as stage)  Cost of Decoration, Sound and Lighting  Cost of Labor  Logistics of Setting up  Food and Beverage Facilities  Safety

Establish Event Concept, Theme, and Format Audience • • •

When organizing an event, the needs of all participants must be considered before finalizing the concept. In example of the entertainment-based event, one of the challenges is to keep up an engaging event and encourage participation in activities. The audience needs to comfortably fill the venue to create a positive and engaging ambiance.

Financial Considerations •

The expenses for the event must be fit to allotted budget.

Timing of Event • •

It is often linked to the season or weather. Evaluation of an event concept must consider the following four time-related factors: 1. Season 3. Time of the Day 2. Day of the Week 4. Duration

Event Team, Contractors, and other Stakeholders •



The skills of the event and, and just as importantly, the contractors, such as lighting technicians and catering staff, are an important consideration in terms of concept development. Staff working at most events have very limited opportunity for training, making job, breakdowns, and task sheets essential aspects of planning. These are some of the people involved staging an event: 1. Talent/Performer 5. Employees 2. Cast and Crew 6. Volunteers 3. Contractors (Service Providers) 7. Emergency Services 4. Suppliers 8. Event Planners and Managers

Information Sheet 2.4 Event Planning in Now Normal Events have undergone some major changes over the last couple of years. From the lingering effects of the pandemic still impacting businesses to the major shift in societal attitudes about employment, social issues are making a big impact on 2022 event trends. While in-person events will return, they probably won’t be like anything we’ve experienced before. As the industry cautiously begins to find its footing while virtual events continue on, planning for in-person and hybrid events will present a new set of challenges—many of which may be out of your control.

SOURCING IN THE NEW NORMAL Finding the perfect venue just got a little more complex, and the competition is sure to heat up as the summer months go on. This means not only keeping up-to-date with venue availability, and preparing for the unexpected, but also ensuring the venue you choose is the right fit for your organization with the new regulations that vary from state-to-state, and hotel-to-hotel.

Considerations you’ll now face include: •





New Capacities at venues. The space needed for a 250-person event can be drastically different than it was in January. Social distancing means more space may be needed, fewer people can attend in-person, and so on. New ways of interacting or different spaces. Will outdoor venues find footing faster than indoor ones? We’ve seen drive-in movies return as a popular form of entertainment, and the restaurants that have re-opened have typically begun to offer outside-only seating, with a limit on diners. Regional regulations. It’s a tall task, but it’s vital to stay on top of all regions opening up, and how they may all have major, and minor, differences/regulations. For example, you may be able to find that larger events in APAC and Germany open up sooner, while other regions are still restricted to no more than 25 in other areas across the globe.

Travelling and planning Travel is still one of the great unknowns. What used to be a fairly mundane process has now become more complex and ultimately, more challenging. Gone on the simple days of trying not to put an executive on a red-eye, or procuring an aisle seat in first class— now most of your concerns will centre on safety. Here a few things to ponder:









Employee risk/willingness to travel. Keeping employees safe and secure is at the top of the list for all organisations. Will employees be willing to jump back on a plane and travel to a venue to work your events? And if they are, what steps do you need to take to ensure their safety? Budget: With an economy in recovery, and an industry on its heels, budget constraints are all-to-real. Doing more with less means having to face no-so-ideal scenarios when choosing travel times, hotels, and the number of staff you can bring to your events. How are airlines handling safety/cleanliness: Another aspect that you can have little control over—but one that may affect which airline you choose. This could mean your company only being confident in one carrier, which will impact staff and attendees alike. Making sure your room blocks have ample attrition. Typically, you try to negotiate a low attrition rate or ensure that your contract has a mitigation or re-sale clause. In the new normal, attrition is likely to increase as potential attendees realize they may not want to travel after all. Work with your prospective venues.

ONSITE LOGISTICS FOR SAFER EVENTS

Once onsite, your event set-up and logistics will be quite different. A few areas to consider:

Event layout and design. Configure your space differently to allow for social distancing. Space requirements. Are you changing your event programme size? Or will new human behaviour need to be taken into consideration? The space you needed to run your program in the past may be completely different than the space you need now. Interactive technology. Coming out of a health crisis, consider what attendees will be hesitant to use touch screens? How about long lines at check-in or outside of session rooms? You may want to investigate more passive attendance tracking technologies to eliminate the need for people to touch the same screens one after the other. Health and safety procedures. Similarly, what are new health and safety measures you may want to be aware of on-site? You may think about sanitizing stations, equipment cleaning, and an updated venue cleaning schedule that fits in with the venue’s regulations. Food and Beverage. Serving styles that limit the spread of germs, such as a decrease to buffets and self-serve options.

Hybrid events. Explore opportunities to create a virtual option for in-person events for increased accessibility to attendees who may not be willing or able to attend in-person. Signage. Use signage to promote healthy choices and inform attendees.

Event Planning in Now Normal The market is ever changing and adapting. Events are a crucial part of any business or organization as they keep up with market needs and stay connected with their stakeholders. As we hop into 2022, get a head start and make yourself aware of all new event trends.

Hybrid Events As the world partially opens up, some of us are still not comfortable venturing out. Safe to say, people would like the flexibility of remaining remote and online or going in person. The new normal means that you can have both an in person and virtual audience. Event trends are now pushing towards hybrid events! In a report, 57% of event organizers agreed that hybrid event tools will dominate the future. In the same study, 76.4% noted that they planned to host one or more hybrid events in 2022. Here are just a few of the benefits of hosting hybrid events: • • • • •

Expand reach globally Save costs since you’re inviting a global audience virtually Host environmentally friendly events Access data driven tracking Increase your event ROI

How Does This Trend Impact Different Event Types? Events for the Education Industry: The education industry was the hardest hit when things went online. Now with Google classrooms and other platforms children and teachers adapted well. New event trends have seen part of the student body go back in person. The other half remained online. This hybrid reality will be true to events like graduation ceremonies, open days and career fairs. Events like graduations might require a complex hybrid model. This is so peers can have the feeling of graduating together. However job fairs and open days can be conducted in sequence. Internal Meetings: In a survey, 41% workers stated that they wanted to remain fully remote. With this event trend, organizations will need to adapt to meetings that cater to online and those physically present. A light hybrid model would be perfect for these kinds of circumstances. Conferences: Large gatherings like those at conferences will be unlikely. With 3D designs and virtual environments, one can replicate the actual venue. Online individuals can feel like they are actually present. Booth hall layouts can look like those in person. Videos can be live or available on demand. Here is your chance to find out how your attendees are behaving and analyze the data the virtual world will provide. This will help make more informed decisions for both online and offline events. Trade Shows and Exhibitions: The virtual world offers greater access to e-commerce. For virtual trade shows, product launches and exhibitions there is a greater opportunity to showcase oneself to a global audience. Hybrid realities offer exhibitors the ability to showcase their products both in person and online. For those who prefer to touch and feel their products versus others who prefer online information.

Focus on safety 1. Contactless A way event planners will have to evolve around is how to keep the event contactless. New event trends dictate how technology is adapting. Electronic watches, wristbands or badges will keep people from touching surfaces. 2. Onsite testing One way to offer attendees peace of mind is to provide onsite lab tests. This will be particularly important for on-site staff and event personnel. If you plan to offer onsite testing for attendees, you will need to plan in advance as well. 3. Health Screening During registrations and right before the event starts everyone will have to be screened. Submitting proof of their vaccinations will be one such method. This includes attendees and onsite staff. Vaccination and travel histories will be part and parcel. Whether they have been in recent contact with a sick person will also need to be considered. 4. Safety Reminders In order to make sure guests are following protocol, regular reminders will have to be in place. These can be in the form of screens, signs or posters. These signs will include; • “Keep your masks on” • “Maintain social distancing” • “Sanitize your hands regularly”

MICRO EVENTS Events will no longer be one-offs. Instead of investing in a single annual event, organizations will have to space it out. This could be in the form of hybrid or virtual. It means breaking it up into smaller and more manageable groups. Event ‘series’ and/or niche event themes will be more popular than ever. This will enable more personal engagement with your attendees. However, this would mean a lot of planning and strategizing. For this reason, organizers will need a personal project manager to take some of the workload. How Does This Trend Impact Different Event Types? •

Conferences: Most large-scale conferences will have to spread themselves out and have material available on demand. This offers more visibility and thus awareness. This will also create a greater sense of community as people will be able to network at a closer level.



Summits: Micro-summits could bring together a very small and highly qualified group of people to solve extremely complex problems. Rather than hosting a summit that relies on big-picture themes and breakout rooms to dig into more unique issues, micro-summits can be held throughout the year.



Job Fairs: Smaller events means easier sifting through resumes, easier ways to schedule interviews and easier ways to network. Making your job search both efficient and meaningful. TLE 8 | Module 2.1 | A.Y. 2022-2023 | Page 12 of 22

FOCUS ON SUSTAINABILITY AND CARBON FOOTPRINT Businesses will be more relevant in the age of climate change this way. Any business not engaging in environmental or sustainable activities is likely to suffer in the public eye. When your events are virtual, you are saving not only costs, but you are saving trees, reducing carbon emissions and adding to landfills. This is an event trend that most companies should bag.

SKILLING UP As more people find themselves at home, they are now looking to up-skill. People need the know-how in the age of digital transformation. Traditional jobs are changing – take event planning as an example! Many skills will become obsolete and the workforce will need to acquire new skill sets. These might include: • • • • • •

Digital and technological skills Global perspectives Inclusiveness and cultural diversity awareness People skills Communication Data analytics

How Does This Trend Impact Different Event Types? Education Events: Students will need to develop the skill sets for the constantly evolving digital world. In doing so, schools and colleges will have to research and prepare them for these skill sets. Conferences: As virtual events continue, the demand for certification courses and skill building workshops are expected to continue. As organizers, you will have to identify what are some of the ‘goals’ your audience wants to achieve. What kind of content are they looking to consume? You would then have to zero in on speakers and material that offer or compliment these goals. E-books, case studies, interactive modules will all have to be part and parcel of your future events. Career Fairs: As more people find themselves upskilling, career fairs will need to adapt to the changing market. Some of the jobs that are in high demand in 2022 include careers in information technology, health care and data analytics. Fairs will need to offer these insights Internal Meeting: Employers will want to provide their employees with workshops and skills to meet market needs. ENTERTAINMENT, MINDFULNESS, AND WELLNESS Millennials are stressed and are aware that they are. Unlike their baby boomer parents, they want to do something about it. They aren’t letting stressful environments take over their lives. Mindfulness and wellbeing are major priorities for them. Workspaces and events without these breaks are now ‘politically incorrect’. Company retreats too can be virtual now. Users are also no longer looking for just ‘content’. They are looking for ‘experiences’. Ask yourself; does your event offer anything transformative? Interactive and engaging features will be a major component of your event. Part of wellness includes looking for routes of self care. Translated in many ways, self care can include spending time with friends. In doing so, entertainment events also fall under this category. Virtual holidays and parties will be the new way to keep things light. However, this can’t simply be a company wide call. You will need interactive tools and creative ways to keep your audience engaged and improve attendee experience.

Each committee is responsible for planning the event.  Media and Public Relations Committee – decide how the event is going to be promoted; responsible for making the invitations.  Decorations and Physical Arrangement Committee – setting up decorations, table set-up etc.; responsible for coordinating the venue, presenting the theme and creating venue layout.  Food Committee – work with caterer on food and beverage choices; responsible for presenting menu.  Budget Committee – allocate and audit the total expenses for the event.  Entertainment and Activities Committee – create the program flow of the event. 2.
